What does the Payroll report show?
This report tracks contributions earned by each employee based on the class, enrollment, appointment, and hourly rates that you have set up.
With this report you can:
- You will be able to see the following after generating this report, contributions from:
- Hourly pay
- Tips
- Commissions
- Services rendered by each employee
How do I use this report?
This report is used to understand and double check that the earnings the system shows, that goes out to your staff, match to the services they rendered. For additional Payroll report troubleshooting, click here for a detailed FAQ article.
Before you start
- Staff pay rates should be completely set up before generating this report. This may include:
- Any professional product charges will appear on this report as a deduction from the staff member's pay.
- Payroll reporting uses banker's rounding.
- This report is available to all Accelerate and Ultimate subscribers. For Essential subscribers, just the owner will have access.
- To view and run this report, one of the following permissions, under the Reports Permissions, must be enabled for you or your staff's login group:

New to the report
Make sure staff pay rates are completely set up (as noted in the "Before you start" section above), before running this report.
- This report includes assistant pay, but to see a more detailed payroll report for assistants, you can view the Assistants report.
1. Go to the Reports tab and choose Staff from the tabs on the left.
2. To narrow the list, select Payroll from the filters, and then click Payroll to open the report. Note: You can also use the search bar at the top right to search for Payroll by name, and if it's a report you use often, then consider making it one of your favorites.
3. The Payroll filter screen will show. Fill out all the filters according to your needs. A list is included below. Click here to be taken to the Filters and terminology section below to learn more about each filter in detail.

4. Once filters are chosen, click Generate.

Printing, saving and exporting
Once the results are generated, the print, save, and export icons provide easy access to setting up a historical record of the results. These icons are located next to the Generate button in the filter box.
- The options to export include excel and PDF files.
- The save option will save the result on the main Reports page in your MINDBODY site.
- Print will allow you to print the results and then manually file it away
- When printing the Payroll report from an Apple computer, we recommend exporting the report to PDF. This will format all of the Payroll information that you just generated into a PDF file that can be saved onto your computer.
- Go to the Reports tab and choose Staff from the tabs on the left.
- Select Payroll from the filters, and then click Payroll to open the report.
- Choose the filters then click Generate for results.
You can always use the search bar at the top right to search for Sales by name. If it's a report you use often, then consider making it one of your favorites.

Understanding the results
After generating the report, contributions from hourly pay, tips, commissions, and for services rendered by each employee will appear. Depending on the view (detail, summary, or summary by pay rate) chosen, the results will look a bit different, but the same overall grand total numbers will appear regardless of the view.
Detail view:
A detail view will show for each individual staff member services performed by service category, which date they were performed, as well as the client name, pay rate, revenue, earnings, and back bar charges if applicable. Summary view:
A summary view is intended to be simplified; a 'just the facts' approach. It will show the name of each instructor, the number of services performed in the time frame, how many clients received services, and the number of comp-ed services. In addition, earnings from performing classes and/or appointments, hourly wages, the amount made in tips and total earnings will be listed for each employee.

Summary by pay rate view:
A summary by pay rate view has almost identical information to the summary view (above), with the exception that it is organized to spell out how much each employee made in each pay rate category assigned. FYI - If your employees have multiple pay rates (i.e. appointment based services) this list can get lengthy.

Additional Tips:
- If you prefer more detail on commissions, hourly wage, or tips, then you will want to run their respective reports (Time Clock, Tips, and Commission).
- Class names link to their unique sign-in sheets, Ensure that you are not over or under compensating staff for class attendance by using these links to access and edit any sign-in sheets in question.

Filters and terminology
Filter name | Definition |
View | This serves as a multipurpose tool to display payroll information on: - All staff members - Detail, All staff members - Summary, and All staff members - Summary by Pay Rate: Sort and view the data in detail, summary, or by the staff member's assigned pay rate. - Paycheck Pickup: Creates a printable check-off list of staff members' names. You can use the list to allow staff members to physically sign and date next to their name, confirming they picked up their paycheck. You may want to file this list away for your records once everyone has signed off the receipt of their paycheck for future reference. - Individual staff members: Lists payroll information for a specific staff member. |
Pay rates | You can choose to filter by the pay rates used for workshops/enrollments and teachers. You can skip this filter if your business only takes appointments. |
Locations | If you use MINDBODY to manage more than one location, then you can choose which business location you want to view payroll for or run the report for all locations. |
Service Categories | Choose which service categories you want to run the report for. |
Start Date and End Date | The date range of the pay period that this report will display. Please note that the report defaults to the last two weeks and there isn't a setting to change the default preference at this time. |
Hide client payment info | This filter only applies to staff members who instruct classes/workshops and have percentage pay rates. When checked, this filter will remove information on the report for this type of staff member pertaining to Revenue, Revenue Per Session, & Earnings per client. Essentially, this filter can be used to simplify the report for percentage-paid instructors. |
Include Inactive staff members | If you'd like to include payroll information for former employees whose staff profiles are currently inactive, check this box. |
One staff member per page |
You can choose to view payroll information separated by a staff member, allowing you to print a separate page for each staff's payroll. |
Show comp details | This option allows you to view details for each comped session. The report will create sections separated by specific pricing options and display the names of the comped clients and the number of visits that were comped. A comp is considered any visit associated with a pricing option that does not pay the teacher (see: "Does the staff member get paid when a client uses this pricing option?" on the Pricing Options screen). No shows and late cancels are also counted in this number. |
Quick dates |
These options affect the start and end date filters. You have the option of quickly skipping through calendar months, to-date or through rolling averages on a year (Y), quarterly (Q), monthly (M), day (D) or a specific number of days (365, 90, 30, or 7 days ago) basis. |
