This tool provides a way to make changes to multiple client accounts all at once. This includes assigning client indexes and client types, updating contact logs, clearing client measurements, and assigning sales reps.

Location

Go to the Home tab and select Manager Tools from the submenu. Choose Modify Tagged Clients under Client.

Modifying client indexes

You can assign one client index value to a large group of people at once. You must have at least one client index with at least one client index value set up in order to use this tool.

Here’s how to use this tool:

  1. Find a report that helps you drill down on a specific group of clients. For example, use the Account Balances report to find people that have positive balances, or use the Big Spenders report to find clients who spend a lot of money at your business.
  2. Once the list of clients has been generated on the report, click on the Tag Clients Add button. If you don't see the button on the report, it won't work with the modify client indexes feature. Try another one.
  3. Open the Modify Tagged Clients tool.
  4. Choose Client Indexes from the Update dropdown menu.
  5. Use the drop-down box next to the word "Index" to find the index that you want to assign to the group of clients that you just tagged.
  6. Select the index value that you want to assign to the group of tagged clients.
  7. If you want to assign this index value to all of the tagged clients, check the box next to "Set for ALL Tagged Clients." If you want to assign this value to the clients you tagged only if they don't have a value set for this index, then don't check the box.
  8. Click the Update Tagged Clients button.

Now, all of the clients that you tagged have that client index value assigned to their account. You can see the change on each client's Client Info screen.

Modifying client types

This tool can also be used to simultaneously assign client types to multiple clients. You'll need to have at least one client type created beforehand.

Here’s how to use this tool:

  1. Find a report that helps you drill down on a specific group of clients. For example, use the Account Balances report to find people that have positive balances, or use the Big Spenders report to find clients that spend a lot of money with your business, or use the advanced client search to find new clients.
  2. Once you've generated the list of clients in the report, click on the Tag Clients Add button. If you don't see the button, this report's results won't work with the Modify Tagged Clients tool. Try another.
  3. Click to open the Modify Tagged Clients tool.
  4. Choose Client Types from the Update dropdown menu.

  5. Hold down the Ctrl key on your PC, or the command key on your Mac, and select all of the client types that you want to assign to this group of clients that you just tagged.

  6. Click the Update Tagged Clients button.

Now, all of the clients that you tagged have that client type box checked on their Client Info screens.

Posting contact logs

If you have a group of tagged clients, you can use this feature to leave a contact log for all of them simultaneously. This is ideal when leaving short contact logs in multiple clients' records at once (e.g., "Left Voicemail" or "Send Summer Promotion E-Blast").

To use this feature:

  1. Tag a group of clients.
  2. Open the Modify Tagged Clients tool.
  3. Choose Client Contact Logs from the Update drop-down menu.
  4. Enter the contact log that you want written into the tagged clients' accounts.
  5. Click the Update Tagged Clients button.

Moving clients from one sales rep to another

If you use the Sales Team Management feature, then you may be familiar with the issue of having to reassign all of a rep's client accounts upon his exit from your business. From the Modify Tagged Clients screen, you can reassign clients to a new sales rep by selecting Reps from the Update menu and follow the steps below to assign or reassign your list of tagged clients:

  1. A second drop-down menu will appear below the Update menu; tick the checkbox beside Rep1 to enable the menu.
  2. Choose a sales rep from the menu.
  3. Check the option underneath the menu titled "Set for ALL Tagged Clients" to assign this rep to all clients on the list, or uncheck it to assign the rep to only the clients without a rep assigned yet.
  4. Click Update Tagged Clients to make the change.

Things to know

  • When modifying Contact Logs, this tool assigns any follow-ups to the staff member logged in at the time unless the clients have assigned Sales Reps. Follow-ups are assigned to the client's assigned Sales Rep otherwise.
